You know the feeling: you are in a Teams meeting, you want to share your screen quickly and suddenly everyone is looking at your email inbox. Or you want to switch off the camera and accidentally hit «Leave». These meeting mishaps happen thousands of times a day. Not because users are careless, but because the old Teams toolbar was never built for smooth operation.

From July 2026, Microsoft is rolling out a fundamentally reworked meeting interface. A new centred toolbar, a completely rebuilt sharing area with live preview and a customisable control bar that adapts to the way you work. What exactly changes, why it makes a difference in your daily routine and how to put the new options to use straight away, I will show you step by step.

What changes in the meeting toolbar

The biggest visible change is the rearranged control bar. Microsoft has consistently moved the frequently used actions to the centre: microphone, camera and the share button now sit in the middle. The «Leave» button moves far to the right, clearly separated from everything else.

This is not a redesign for the sake of design. Microsoft analysed where meeting mishaps happen most often and adjusted the placement accordingly. When the «Leave» button no longer sits right next to the microphone button, the chance of accidentally leaving the meeting while you only wanted to unmute drops.

Less frequently used functions such as polls, recordings and live captions end up under a reorganised «More» menu (the three dots «...»). They were there before too, but the categorisation within that menu becomes clearer. Raise hand moves under the reactions, where it belongs thematically.

The customisable toolbar: your layout, your workflow

The second big upgrade is toolbar personalisation via drag and drop.

Until now, every Teams user got the same toolbar in the same arrangement. With the new interface you can:

  • Pin items: right-click an item in the «More» menu and choose «Pin» to place it permanently in the main bar.
  • Remove items: items you never need can be removed from the main bar. They remain reachable via «More».
  • Change the order: pinned items can be dragged into a different position.

Two notes for the start: the personalised toolbar syncs locally only at first. If you switch between desktop, laptop and web client, you have to set it up once on each device. Microsoft has already announced cross-device sync, but it will only arrive later in the year. On top of that, pinned items in the meeting header are capped at two entries.

The new sharing area: no more misclick risk

The reworked sharing area is the most practical improvement for many users.

Until now, clicking «Share screen» opened a panel where you could choose between different options, but without a reliable preview of which window was actually hiding behind which icon. That led to exactly the mishaps mentioned at the start.

The new panel works like this:

  1. In the meeting toolbar, click the share button (square with an arrow pointing up).
  2. A panel opens with two areas: on the left a tab navigation between «Screens & apps», «Interactive files» and further options. On the right you see live previews of all open windows and screens in real time.
  3. Move the mouse over a window: the preview shows you exactly what you would be sharing.
  4. Click the window you want.
  5. New: before sharing actually starts there is a short confirmation click. Teams shows you once more what you are about to share and you confirm with «Start sharing».

This extra step sounds like more effort, but in practice you barely notice it. The preview makes choosing faster, and the confirmation click gives you that crucial moment of pause before your screen becomes visible to everyone. Also new in the sharing area: the «Interactive files» option lets you share PowerPoint presentations directly from within the panel, with the familiar PowerPoint Live view (presenter view) in which participants can scroll through the slides themselves.

Step by step: setting up your toolbar in your first new meeting

Here is how to get the most out of personalisation once the new interface reaches you:

  1. Join a meeting or start one. You recognise the new interface by the centred toolbar.
  2. Click the three dots («...») in the toolbar. You will see the less frequently used items.
  3. Think about which two to three items you regularly need in meetings. For many people that is «Raise hand» and «Notes» or «Whiteboard». Right-click an item and choose «Pin».
  4. Drag the pinned items to the position in the toolbar that feels most intuitive to you.
  5. Try the new sharing area the next time you share your screen. Take five seconds for the live preview before you click «Start sharing».

Once set up, the toolbar simply works. You do not have to configure it again for every meeting.

When does the new interface reach you?

Microsoft is rolling out the new meeting interface in two phases: targeted release tenants (early adopters) see the new interface from early July 2026. The worldwide rollout for all Teams users starts from early August 2026.

During the transition period there is a user-level opt-out: in your personal Teams settings you can temporarily switch back to the old view. That option will be removed «later in the year», when Microsoft finally shuts down the old design branch. Mobile and Linux clients as well as the consumer version of Teams are not affected by this rollout for now.

Practical tip: the ideal toolbar setup for your meeting routine

Because toolbar settings are stored locally at first, it makes sense to take a deliberate decision: set up your toolbar on your main device so that it is optimal for your most common type of meeting. One combination that has proven itself in practice: microphone and camera stay central (as they are by default), share button centred, plus «Raise hand» and either «Notes» or «Record» as pinned items. Polls, whiteboard and breakout rooms stay in the «More» menu, where you need them less often but still find them quickly.

The new Teams meeting interface is not a wow feature that makes headlines. It is the clean-up of small points of friction that add up across a thousand meetings. Anyone with several meetings a day will feel the difference after a week: fewer misclicks, clearer orientation, a sharing process that gives you confidence.

Try it now: once the new interface has been rolled out to you, take five minutes in your first meeting to set up the toolbar the way you need it. After that you will not want it any other way.
