OneDrive Copilot 2026: Bring Order to Your Files

You search OneDrive for a quote and immediately find three similar versions: «Quote_final.docx», «Quote_final_2.docx» and «Quote_final_NEW.docx». Which one did you last send to the client? You are no longer quite sure, so you open all three one after the other to work out the differences by hand. This is exactly the everyday problem Microsoft has tackled over the past few weeks. Since June 2026, Copilot in OneDrive has been suggesting suitable file names, comparing up to five documents at once on request and summarising long reports in seconds, whether at your desk or out and about on your phone 📁. The new features are part of a larger rollout with which Microsoft will link OneDrive far more closely to Copilot over the coming months. I will show you five of these new functions and how to use them starting today.

For steps 1 to 4 you need a Microsoft 365 Copilot licence. Step 5 works independently of that for everyone who uses OneDrive via microsoft365.com.

Step 1: Get rid of cryptic file names automatically

Smart renaming (Copilot Suggested Rename) has been analysing the content of a file since June 2026 and suggests three meaningful names, instead of you having to come up with something like «Final_version_final_3.docx» yourself. At the moment the feature is only available in the web version of OneDrive, not yet in desktop sync.

Here is how to use renaming:

  1. Sign in at microsoft365.com and open OneDrive in your browser.
  2. Upload a supported document. Word, PowerPoint, Excel, PDF, Markdown and images already work. After the upload, a prompt with three name suggestions appears automatically.
  3. Alternatively, right-click an existing file and choose Rename. The same three AI suggestions appear in the dialog box for you to pick from.
  4. Accept a suggestion with a single click or adjust it by hand before saving.

This pays off especially for contracts, quotes and minutes, because you can tell at a glance what a file is about without opening it. As with most rollouts, it can take a few weeks until the feature shows up in your tenant, so there is no point getting impatient here.

Step 2: Summarise long documents with a right-click

You no longer have to read a 40-page set of minutes in full before you go into a meeting. Copilot summarises documents directly in OneDrive, without you even opening the file.

Here is how to do it:

  1. Right-click the file you want in OneDrive on the web.
  2. In the Copilot menu, choose the Summarize option.
  3. Read the generated summary directly in the preview or ask specific questions about the content.

On Windows you will now find the same function directly in File Explorer too, in the Activity Center of a file. That means you no longer strictly need the detour via the browser. With long minutes, quotes or reports from the team in particular, this often saves you several minutes of reading before you even know whether the file is relevant to you.

Step 3: Compare up to five files at a glance

Back to the example from the beginning. Instead of comparing three similarly named quotes by hand, Copilot does it for you, complete with a clear table.

Here is how to compare files:

  1. In OneDrive on the web or in File Explorer on Windows, select up to five files at once. PDFs, Word documents and Excel spreadsheets can be mixed freely.
  2. Right-click the selection and choose Compare files in the Copilot menu.
  3. Copilot creates a table that clearly contrasts the differences in content, dates and key figures.

For contract versions, quotes or budget plans that go through several rounds of editing, this is one of the most useful new functions of all. You no longer have to hunt for the deviations yourself, Copilot shows them to you directly. With Excel spreadsheets full of numbers in particular, it is noticeably faster than comparing every cell by hand.

Step 4: Check PDFs on your phone while you are out

Copilot in the Microsoft 365 app now analyses PDFs on mobile as well, handy when you want to skim a contract one more time just before a client meeting.

Here is how it works on a smartphone or tablet:

  1. Open the Microsoft 365 app and switch to your OneDrive.
  2. Tap the PDF file you want and open the Copilot button in the preview.
  3. Ask your question in plain language, for example «What is the notice period in this contract?», or have the key points summarised for you.

That does away with tedious scrolling through long PDFs on a small screen entirely. Contracts, manuals or reports can also be checked quickly on the move, without you having to open your laptop specially.

Step 5: Find SharePoint content through OneDrive search as well

Search in OneDrive now shows you more than just your own files and folders, it also brings up matching SharePoint document libraries from your team.

Here is how to use the extended search:

  1. Type your search term at the top of OneDrive as usual.
  2. In the results, also look out for suggested document libraries. They appear alongside the individual file hits.
  3. Click straight into one to open the full team library, instead of searching separately via SharePoint first.

Especially when you are no longer sure whether a file sits in your personal space or in the team area, this saves you a detour. It is particularly handy if you have only recently joined the team and do not yet know exactly which storage location holds what. 🔍

My practical tip from everyday work

A combination trick from practice: as soon as several people are working on the same quote or the same contract, run every new version through smart renaming first and accept the suggestion with a sequential number, for example «Quote_ClientMeier_V3». After that, a right-click on the last two versions and Compare files is enough to see in seconds what has changed since last time. The guessing game about which version is the current one is over for good. In larger teams with a lot of back and forth in particular, this combination saves you a few minutes of searching every week.

You do not have to install a new app for this, you will find most of the functions right in the familiar right-click menu in OneDrive.
